General Terms and Conditions Flight Services - February 2026
Bebsy is a trade name of Bebsy B.V., having its registered office at Nijverheidsweg 1, 2031 CN Haarlem.
Definitions
For a description of the definitions applied in these General Terms and Conditions, which are capitalized, reference is made to Appendix A, which forms an integral part of these General Terms and Conditions.
Introduction
Bebsy is an online travel agent which offers flight booking services via its own website and via third-party platforms using PackXGen technology. Bebsy itself is expressly not a party to the final Contract for the Provision of Services. Bebsy does not act as a travel organizer/tour operator.
Bebsy enters into a brokerage agreement with the Customer for the mediation, reservation and ticketing of air travel. The transportation agreement is concluded directly between the Customer and the airline concerned. The airline remains solely responsible for the operation and performance of the flight.
Flights may be offered via third-party hotel websites using PackXGen technology. In such cases, Bebsy acts exclusively as ticketing and fulfilment agent. Neither the hotel nor PackXGen acts as the operating carrier or contractual air carrier.
Mediating hotel rooms: when customers book through the hotel booking engine of Bebsy they use the PackXGen technology to enter the hotels' booking systems. In connection to the booking, you sign a three-party deal with the hotel. The hotel will then be your contract partner. Shortly after your reservation you will receive a hotel confirmation giving you the right to the booked hotel stay. At arrival at the check-in desk, the customer is obligated to do the payment.
Mediating air travel: when customers book a flight through the flight booking engine of Bebsy they use the PackXGen technology to enter the airlines' booking systems directly or indirectly. In connection to the booking, you sign a three-party deal with the airline. The airline will then be your contract partner. In close connection to the time of booking you will receive separate plane ticket(s), which are fully paid for.
As a travel agent, Bebsy is not liable for the correct performance of the Services reserved via its website. In addition, Bebsy cannot guarantee the quality or reliability of the reserved Services or for the proper interoperation of the various components of the reserved Services. These Services are subject to the terms and conditions of the Service Provider involved. Those terms and conditions can be obtained directly from the Service Provider.
The following provisions apply to all Services offered by Bebsy. The Customer accepts these General Terms and Conditions (together with the Privacy Statement and Disclaimer) as part of the booking process, after the Customer has had the opportunity to read, print and/or save the terms and conditions. No agreement will be formed between Bebsy and the Customer if the Customer has not explicitly accepted these General Terms and Conditions (together with the Privacy Statement and Disclaimer).

Article 1: The applicable (General) Terms and Conditions
In the event that you make a booking via Bebsy, the relevant Terms and Conditions of the Service Provider(s) will also apply, alongside these General Terms and Conditions. These can be found on the website(s) of the Service Provider(s) concerned. In the event of complaints regarding (the performance of) the reserved Services, you can only challenge the Service Provider(s) performing those Services on the basis of the relevant terms and conditions.
Article 2: General information regarding the Contract
The Contract for the Provision of Services will come into existence at the time that the Customer has accepted the General Terms and Conditions that apply to the Contract for the provision of Services, in addition to the applicable Terms and Conditions of the Service Provider and has effected payment. By accepting the applicable terms and conditions, the Customer will be bound by the Contract.
Article 3: The booking order - making a booking
In order to make a booking, you must be at least 18 years of age and must in all other respects be legally competent to make a Booking. If you are not 18 years of age, or over, or are not competent to act on your own behalf, you are not authorized to make a booking and/or to agree with our General Terms and Conditions. If that is the case, Bebsy will have the right to deem that the Contract was never entered into in the first place.
If the Customer makes a booking for several persons, the Customer, by concluding the Contract, is declaring that he/she has been explicitly authorized to accept these General Terms and Conditions on his/her own behalf and on behalf of all the members of the group.
It is your responsibility to ensure that all details provided to Bebsy relating to yourself, including your payment details, as well as those relating to any other Travelers are correct and complete, and that you have provided all information relevant to the performance of the service, before the Booking Confirmation is drawn up. In addition, you must ensure that any other Travelers listed in the booking take note of all the information, including information regarding the applicable terms and conditions, documentation and other communication between Bebsy and yourself. All information provided to you by Bebsy will be regarded as having been transmitted to the other Travelers, on whose behalf the booking has been made.
In the event that any of the personal details submitted by you should change in the interim, you must inform Bebsy of this immediately. Bebsy reserves the right to impose administration fees in relation to any amendments that are required.
In the event that the Customer does not receive an email containing the Booking Confirmation, the Customer should immediately contact the customer service department at Bebsy.
Article 4: Payment
It is possible to pay with multiple payment solutions offered by our payment service provider Ingenico, such as credit cards (Visa and Mastercard). Your card will be charged immediately as the booking is paid for.
In case of a refund, the same card that was used for payment will be credited. It may take up to three days before the money is on the card. Bebsy uses 3D Secure encryption for all card payments. This secure card payment solution is created by Visa and Mastercard and used to identify the card holder. No information typed into the encryption flow will be saved by Bebsy after your trip. Independent from supplier rules and regulations, your card is debited at the time of booking.
Article 5: Price and amount errors
Due to fast and automated pricing technology, both pricing and allotment availability may be incorrect. Bebsy reserves the right to contact you with a correction within two working days if serious errors occur. For weekend bookings, Bebsy may contact you on the next weekday.
Bebsy reserves the right to correct pricing errors, technical issues, data errors and changes outside of its control. Such errors may be caused by suppliers displaying unavailable inventory or incorrect prices. The customer will be informed as soon as Bebsy receives this information.
Article 6: Liability
Bebsy performs its activities as a travel agent/broker with due care befitting a good contractor. Bebsy accepts no liability for acts and/or omissions of Service Provider(s), or for correctness of information provided by those Service Provider(s), whether via the website or otherwise.
Bebsy does not accept liability if it cannot perform the Contract due to force majeure. Force majeure includes unforeseen circumstances that could not have been prevented despite reasonable measures, including but not limited to technical defects in transport means, weather conditions, traffic jams, industrial action, acts of war, riots, terrorist threats, pandemics, blockades, missed connections, overbooking, financial inability of Service Provider(s), changes made by Service Provider(s), or cancellation by Service Provider(s).
Insofar as Bebsy itself fails imputably and the Traveler sustains direct or indirect losses or damage, liability of Bebsy is limited to no more than the Services invoiced by Bebsy.
Liability is excluded for losses covered by insurance (such as travel/cancellation/medical insurance) and for losses suffered in a professional or business context, including losses due to missed connections or late arrival.
Bebsy is not liable for promises made by staff and/or third parties that clearly deviate from these terms or the Service Provider terms unless confirmed in writing by post or email. Bebsy is not liable for indirect or consequential loss, including non-receipt or late receipt of schedule changes, lost profit, lost savings, business interruption, or losses suffered by Customer/Traveler.
Bebsy has no control over seat allocation by airlines. If a Traveler wants a specific seat, Bebsy recommends early check-in with the airline. Bebsy cannot guarantee that seat requests are granted.
Article 7: Amendments or cancellations by Bebsy
Sometimes airline tickets and/or vouchers are offered for which issuance at the indicated fare or booking category is not possible due to technical errors, incorrect pricing, automated system malfunctions or restrictions imposed by the airline. Airfares and booking categories are made available via automated distribution systems and are subject to continuous changes.
In the event of an evident pricing error, incorrect booking category or ticketing restriction, Bebsy reserves the right, within two working days after booking or ticket issuance, to request payment of the correct fare or to cancel the booking and fully refund the amount paid.
Electronic ticket issuance may in certain cases not be possible due to airline system limitations, lack of interline agreements or other technical incompatibilities. If a ticket cannot be issued, Bebsy will contact the Customer within two working days to discuss alternatives or to process a full refund.
Flight schedules, flight numbers and routes are determined by the airline and are subject to change at any time. Airlines do not always communicate such changes to Bebsy in a timely manner. The Customer remains responsible for checking the final flight schedule directly with the airline at least 24 hours prior to departure. If Bebsy is informed of a schedule change, Bebsy will make reasonable efforts to notify the Customer using the provided contact details. If Bebsy cannot reach the Customer in time, Bebsy may accept minor schedule changes on behalf of the Customer in order to prevent automatic cancellation by the airline.
Article 8: Amendments or cancellations by the Customer
A. Amendment or cancellation of an airline ticket
After booking, an airline ticket is generally considered final and subject to the fare conditions of the airline. However, there are exceptional cases in which amendment or cancellation is possible. For options and conditions, contact Bebsy customer service.
If amendment/cancellation is possible, costs always apply. These include airline change/cancellation charges based on selected ticket conditions. Costs can amount to 100% of the ticket price and can be higher if the previously booked fare category is unavailable.
Bebsy administration costs for processing a cancellation/change are at your expense. Bebsy charges EUR 50 administration costs if the ticket can be cancelled or changed.
B. Amendment or cancellation of a hotel booking
It is not always possible to amend or cancel a hotel booking. For options and conditions, contact the hotel directly.
Article 9: Submission of refund claims
If an airline ticket is refundable under the fare conditions of the airline, any refundable amount will be processed after Bebsy has received the corresponding funds from the airline. Refunds will be made to the original method of payment unless otherwise agreed.
The timing of refunds depends on the airline concerned. Bebsy has no control over the refund processing time of the airline.
Article 10: Travel documents
You are expressly responsible for correctly providing personal details required for a correct booking and execution. If personal details change, the Traveler must notify Bebsy immediately. Bebsy reserves the right to charge amendment fees for personal detail changes.
The Traveler's first name and surname must be entered exactly as stated in passport. Married women must enter maiden name if that is what appears in passport. There is no need to include "spouse of" or "widow of".
If a ticket contains an incorrect name, airline carriage may be refused. If name errors are identified after booking confirmation, contact Bebsy customer service. Bebsy charges EUR 50 administration fee for amendments, and airline charges may also apply. Bebsy cannot guarantee airline acceptance of name changes.
You are responsible for holding correct and valid travel documents, including but not limited to passport, visa, vaccination certificates, birth certificates, extracts of origin and consent forms. It is important to check document requirements repeatedly before departure.
Requirements may change regularly. If documents are incomplete or invalid, access to flight may be denied. Bebsy accepts no liability in that case. Many countries require passport validity for six months after stay. Visa applications may require time; Bebsy recommends applying as early as possible after booking.
Article 11: Booking of flights
After an airline ticket is booked, the airline is responsible for the booking and trip information (including personal data required to execute travel) is stored in the Service Provider booking system.
Checking in
The Traveler is responsible for timely check-in with the relevant airline. Some airlines provide online pre-departure check-in and, for some airlines (including Ryanair and EasyJet), online check-in can be mandatory. Consult your airline for latest requirements.
General recommended check-in times:
- European destinations: at least 2 hours before departure.
- Destinations outside Europe: at least 3 hours before departure.
- Destinations with strict security checks (including but not limited to USA and Israel): at least 3 hours before departure.
Missing your flight generally means ticket costs are not refundable.
Pregnant travelers
Airlines may refuse pregnant travelers depending on pregnancy stage. Consult airline terms or contact Bebsy customer service.
Passports for babies
From 26 June 2012 in the Netherlands, every child including babies requires their own passport or identity card for international travel, including travel inside and outside Europe.
Traveling with babies
In airline industry terms, a baby is a child under age 2 on relevant flight dates. In general, one adult may travel with one baby. Depending on airline, more may be possible. Babies are generally not entitled to their own seat and travel on the adult's lap.
Unaccompanied children
Before booking an unaccompanied child, contact Bebsy customer service first. Airlines may refuse carriage for unaccompanied children (usually under 18), and age limits differ by airline. The Customer is always responsible for checking airline terms before booking. Bebsy accepts no liability if this is not done.
Flight times, numbers and routes
Flight times, numbers and routes provided at booking are subject to change and are not guaranteed by Bebsy. Travelers should check actual itinerary within 24 hours before departure. Bebsy is not liable for losses due to airline schedule changes.
Article 12: Baggage allowance
Baggage dimensions and weight limits vary by airline. For exact allowance details, check the specific airline website or contact the airline customer service. Additional baggage charges may apply.
Article 13: Interest and recovery costs
Any Customer who fails to make payment to Bebsy in time owes statutory interest on the amount due, unless Service Provider terms prescribe a higher rate. The Customer must also reimburse all reasonable extrajudicial costs incurred by Bebsy or the Service Provider.
Article 14: Complaints and disputes
If an error in travel components gives reason for complaint during travel, the supplier (airline, rental company, hotel, etc.) must be notified immediately and given opportunity to correct it. If a complaint is submitted directly to supplier, always request written confirmation, especially if compensation will be requested later.
If compensation is received directly from supplier during the trip and/or Bebsy was not contacted when the shortcoming occurred, compensation rights may become void.
Complaints unresolved with suppliers can be sent to Bebsy for investigation and should include booking reference, departure date, detailed issue description, and preferably supplier written statement on issue and cause. Depending on complaint type, handling may take 3 to 6 weeks. Complaints can be sent to support@Bebsy.nl.
If Customer and Bebsy disagree about resolution, parties may use an approved alternative dispute resolution body. EU online dispute resolution platform: https://ec.europa.eu/consumers/odr
Article 15: Intellectual property rights
The website, its content (excluding third-party supplied material), and Bebsy brands are protected by intellectual property rights and may not be used without prior Bebsy consent, except where permitted by law.
Article 16: Disclaimer
The Customer acknowledges and declares that by accepting these General Terms and Conditions he/she also accepts the disclaimer.
Article 17: Data protection
When making a booking, the Customer provides personal data, including payment details, relating to all Travelers included in the booking. Bebsy processes such personal data as necessary for the performance of the brokerage agreement and for the conclusion and execution of the transportation agreement with the airline or other Service Provider.
Personal data will be shared with the relevant Service Provider(s) and with carefully selected third-party service providers involved in payment processing, fraud prevention, IT services and booking administration. Such third parties act on Bebsy instructions or as independent data controllers where applicable.
Bebsy processes personal data in accordance with applicable data protection legislation, including the General Data Protection Regulation (EU) 2016/679 (GDPR).

Article 18: General
The original text of these terms was drawn up in Dutch and prevails for interpretation. If any provision is invalid, non-binding, null and void, or subject to annulment, remaining provisions remain valid. As soon as possible after such determination, Bebsy will provide a replacement provision that is valid.
Bebsy reserves the right to amend these General Terms and Conditions. During booking, the most recent version will always be available for download.
Article 19: Applicable law
The Contract between Bebsy and the Customer is governed exclusively by the laws of the Netherlands.
Appendix A (Definitions)
- General Terms and Conditions: these booking terms and conditions, as adjusted or amended from time to time.
- Booking Confirmation: completion of online booking and acceptance of applicable terms and Service Provider terms, binding the Customer to the Contract.
- Charter Company: a company offering charter flights, not regular scheduled flights.
- Service(s): services offered on the website and provided by the Service Provider.
- Service Provider: transport/accommodation/other travel service provider with whom Customer contracts.
- Scheduled Airlines: airlines operating according to a fixed timetable.
- Low-Cost Airlines: airlines using cost-saving models to offer lower fares, often within Europe.
- Contract: contract for services between Customer and Bebsy in its travel agent/broker role.
- Customer: the party making a booking with Bebsy.
- Traveler: Customer or person on whose behalf services are booked and who accepted that stipulation.
- Entry Ticket: document issued by or on behalf of Service Provider granting access to booked event.
- Travel documents: all documents required for entry to a country, including passport, visa and certificates/forms.
- Airline Ticket: ticket issued by or on behalf of airline after booking and payment completion.
- Bebsy: part of Bebsy B.V., travel agent in the broad travel domain.
- Website: www.Bebsy.nl
- Working Days: Monday to Friday, excluding special days and public holidays.
